The need of document management systems has been evident since the day big companies were created. Dating to the 1980′s, systems have been evolving and advancing in order to be better apt at managing documents. Eventually, together with the development of computer system, electronic document management widely came into use. Metadata is stored for each document and it may include the date when the document was stored and also the identity of the user who stored it. The document management system may extract metadata from the document automatically or impel the user to add metadata.
As a rule, indexing is elementary but sometimes, taking a more complex form, it provides classification through the documents’ metadata or word indexes, that are extracted from the document contents.
Security is another advantage of edm systems. Some documents have a management module that allows the administrator to give access for particular types of documents to a select group of individuals with proper security clearance.
These above mentioned functions and many others are easily carried out with the help of electronic document management systems . Decreasing the human error factor, an EDM system makes documents safer, more organized and surely is a wise investment for any company.
